JOB TITLE: Exports / Logistics Assistant

Key Responsibilities:
Your main tasks and duties will include:
- Export Coordination & Documentation:
- Prepare and verify all export documentation including:
- Commercial invoices
- Packing lists
- Forwarders' instructions
- Road manifests
- Master airway bills
- Bills of lading
- Certificates of origin
- Third-party inspection certificates
- Export licenses (if applicable)
- Ensure compliance with local and international shipping and customs regulations
- Coordinate all transport bookings with internal loading teams, road hauliers, shipping lines, airlines, 3PL providers, and couriers
- Track and trace all shipments; communicate delays or changes to relevant stakeholders
- Maintain contact with international clients for updates, queries, and coordination
- Manage returns, delays, and complaints in collaboration with internal teams
- Ensure adherence to trade laws, sanctions, and international agreements
- Maintain accurate records of export transactions for compliance and audit
- Support preparation of reports and ad hoc administrative logistics functions
- Operational Shipment Tasks & Timeline Management:
- Open file and folder for each shipment on the shared Z-Drive
- Compile full export pack including:
- Commercial invoice
- Packing list
- Forwarders' instruction
- Clearance documents
- Print purchase orders and double check against GRV and loaded items
- Finalise packing list and send to warehouse/loading team for validation
- On warehouse approval, finalise commercial invoice with confirmed truck size/loading requirements
- Submit loading info to transporter (truck size and equipment value) to calculate road bond and charges
- Once transport costs are confirmed, finalise commercial invoice and verify costing
- Send final packing list to warehouse to process transport purchase order
- Allow ±48 hours lead time before scheduled loading
- Send commercial invoice, packing list, and clearance documents to transporter
- For supplier loading, notify the supplier via email of the planned loading date
- Upon receipt of SA clearance from transporter:
- Print, scan, and save all documentation in the shipment folder
- Send full set to the client and clearing agent for destination clearance
- Print 3 full sets of documents for the driver
- For Klerksdorp loading, email documentation to local team to print for the driver
- Arrange insurance cover for the shipment
- Notify project site of truck and driver details to ensure access (include copy of packing list)
- Update the loading schedule
- Update outstanding order schedule
- Follow up on missing paperwork
- Ensure all site documentation is printed, scanned, and saved in the folder
- Distribute updated loading schedules every Friday to project engineers/managers
- General filing and digital records maintenance
- Shipment Tracking & Communication:
- Send tracking updates via WhatsApp and email for all projects
- Must be available to send updates on a rotational basis, including weekends and public holidays
- Accuracy & Cross-Checking:
- Double-check all purchase orders against GRV and loading items
- Confirm accurate values and data on the loading schedule
- Verify invoice values before finalising the commercial invoice
- Check weights and dimensions of goods
- Ensure all required documentation is received from project sites
QUALIFICATIONS & EXPERIENCE:
- Matric (Grade 12) minimum
- Diploma or certificate in Logistics, Supply Chain, or related field (advantageous)
- 3-5 years' experience in a similar Exports / Logistics Assistant role
- Previous experience handling commercial exports across Africa and internationally
- Background in a manufacturing or production environment is essential
- Proficient understanding of customs documentation, logistics processes, and Incoterms
