      Receptionist/PA

      Location:Durban
      Type:Permanent


      • Answer enquiries and obtain information for customers, visitors and staff. Provide information regarding Pro Print, its activities, location and departments.
      • Operate telephone switchboard to answer, screen or forward calls, providing information, taking messages and scheduling appointments.
      • Receive any deliveries from Customers or otherwise.
      • Perform administrative support tasks as and when requested.
      • Greet persons entering Pro Print, determine nature and purpose of visit and direct them to specific offices.
      • File and maintain any records for reception.
      • Transmit information to Customers or Suppliers, using email or telephone.
      • Schedule any appointments and update appointment calendar.
      • Collect, sort, distribute and prepare mail, messages and courier deliveries.
      • Calculate rates of transport documents.
      • Perform duties to maintain reception area.
      • Refer to the Standard Operating Procedures (SOP) manual at all times whilst working
      • General duties
       PA
      • Managing diaries and organising meetings and appointments, and controlling access to the Director
      • Booking and arranging travel, transport and accommodation
      • Organising events and conferences when required
      • Reminding the Directors of important tasks and deadlines
      • Typing, compiling and preparing reports, presentations and correspondence
